Yes, at any time from your customer area. You pay per person and per role — user or administrator — and the adjustment is prorated via Stripe, with no penalty. The new amount applies from the current period, and the breakdown appears on your next Stripe invoice.
From your customer area, in a few clicks, without contacting support and without justification. The subscription stops at the end of the period already paid, with no hidden fees. You can export your organization's data before, during and after cancellation — it remains yours, in a readable format (JSON).
In your own Zimbra/CalDAV calendars and on your workstations, inside your infrastructure. The Room Flow portal stores no bookings at all: it only manages your account, your licence and your device activations. Even if a third party asked, we would have nothing to hand over: we do not hold your schedules.
Nothing happens automatically: we don't ask for a credit card at sign-up, so there is no surprise charge. After the 30 days, you subscribe to continue — or you don't, and your account simply stays inactive until deletion.
Payment is handled by Stripe, a PCI DSS certified provider: your card number never passes through our servers and we do not store it. We only keep the subscription data needed for billing. You manage your payment methods and invoices through Stripe's secure portal.
In short: your organization's name, the email address and (hashed) password of each account, and — for each device activation — the account email and a device fingerprint (anti-sharing). The exhaustive list is in our privacy policy.
